AGM Checklist




The MAHIP archives are stored with the University of Manitoba Faculty of Medicine Archives. The Archives will store prior to three years, thus allowing the Association to have on hand the last three years for research purposes. MAHIP will donate its records to theUniversity of Manitoba Faculty of Medicine Archives on an annual basis.  The Secretary is responsible for taking appropriate three-year-old and older material to the Archives and maintains information about what has been placed in the Archives in his/her records.



Donated material should be in electronic format whenever possible or one print copy.  Documents to be sent to the archives include:


a) Membership Directory,

b) Executive meeting agendas and minutes,

c) Programme reports,

d) Status reports on memberships, finances, and strategic planning,

e) Annual General Meeting notice, nomination slate, biographies, agenda, minutes, financial statements and President’s report,

f) Committee minutes if any,

g) Significant correspondence, other than newsletters and directories from other organizations.

h) Photographs with copyright permission from the photographer (include a signed letter authorizing reproduction) and background information such as when, where, who, etc.

i) MHLA newsletter and  published documents.
